CANCELLATION & REFUND POLICY

Effective date: 9th March, 2026

1. DEFINITIONS
  • Booking date / Check-in date: The date your stay is scheduled to begin.

  • Check-in time: 15:00 (3:00pm) local time.

  • Service fee: Any clearly stated booking or administrative fee charged at the time of booking.

  • We / us: Madam Green Farm Holidays (Host: Helen Hague).

  • You / guest: The person who made the booking.

2. CANCELLATION WINDOWS & REFUND ENTITLEMENT​

A. FULL REFUND – 100%

If you cancel 28 days or more prior to your booking check-in date, you will receive a full refund (100%) of all amounts paid.

 

This includes:

  • Accommodation charges

  • Any refundable fees

Refunds will be returned to the original payment method within 14 calendar days.

B. PARTIAL REFUND – 50% of ACCOMMODATION

If you cancel before 15:00 (3:00pm) exactly 14 days prior to your booking check-in date, you will receive:

  • 50% refund of every night’s accommodation cost

  • No refund of any service fee

The service fee is non-refundable in this cancellation window.

C. NO REFUND – NON-REFUNDABLE RESERVATION

If you cancel at or after 15:00 (3:00pm) on the day that is 7 days before your check-in date, the reservation becomes non-refundable.

 

In this case:

  • No refund of accommodation charges

  • No refund of service fees

 

The booking is final.

3. RESALE OF CANCELLED DATES

If we are able to re-let (resell) part or all of your cancelled stay to another guest, we will refund you the amount successfully re-let (less any retained service fee).

 

Refunds for resold dates will be processed within 14 days of receiving the replacement booking payment.

 

If the dates are not resold, the standard cancellation terms above apply.

4. HOW TO CANCEL

All cancellations must be made in writing via email to:

madamgreenfarms@gmail.com

The time of cancellation is the time we receive your written notice. We recommend requesting confirmation of receipt.

5. RERFUND PROCESSING
  • Refunds are issued to the original payment method wherever possible.

  • Refunds will be processed within 14 calendar days of:

    • Your cancellation (if refundable under this policy), or

    • The date we receive payment from a replacement booking (if applicable).

6. HOST CANCELLATION

If Madam Green Farm Holidays needs to cancel your booking due to unforeseen circumstances (e.g. property damage, double booking, safety concerns), you will be offered:

  • A full refund of all monies paid, or

  • Alternative accommodation (if available), or

  • A mutually agreed transfer to new dates

If you choose not to accept alternatives, a full refund will be processed within 14 days.

7. EXCEPTIONAL CIRCUMSTANCES

We strongly recommend guests obtain appropriate travel insurance to cover unforeseen events such as illness, travel disruption, or emergency cancellation.

In genuine exceptional circumstances, we may (at our discretion) offer:

  • A goodwill refund

  • A partial refund

  • A credit towards a future stay

Supporting evidence may be required.

8. LEGAL COMPLIANCE & GUEST RIGHTS

Under the Consumer Contracts (Information, Cancellation and Additional Charges) Regulations 2013, accommodation bookings for a specific date are exempt from the standard 14-day cooling-off period. Therefore, the cancellation terms outlined above apply once a booking is confirmed.

Nothing in this policy affects your statutory rights under UK consumer law.
